Enter
your own Data
Edit
or enter your own data by double clicking a cell on both left or right
pane. Row Mode allows you to copy and paste data based on record rows.
You may also use Block Mode to edit cell data. To insert rows, press Shift
and Insert keys as many time as you like. To delete, press Shift-Delete
key.
Instant
online Internet
Map
You
do not need to type the address every time you want to find the map of
your friend's home. Use this for merchandise or food delivery in your
town. Simply point to the record row and press Ctl-F8 key or click the
Internet Map button on the tool bar. Redefine the street column (F9) when
you insert columns or open a different file.
Send
Email to Multiple Receivers
Highlight
rows for those you want to send email to and click the Send Mail button
on the toolbar. Use Ctrl-Click to select or unselect one for a group.
This is very useful especially when you want to send to a group of people
that constantly changes.
Sort
by Column
Click
the column title bar to sort by that column. Next click on the same column
title will be reversed in order. You might want to order the zip code
before print the mailing labels.
Can
Address Book memorize a group of my email recipients?
No,
but you can do it using tricks. Create a checkbox column (go to Tools->Column
Define) named 'Group1' and check those recipients. Next time when you
open the program, sort by that column, highlight rows and click the Send
Mail button. So it takes only three moves and is better than finding groups
from your email program and visually checking the unfriendly email addresses
from a text chunk.
What
if I use Yahoo or HotMail?
Address
Book automatically fills out the recipients for you. You can copy the
text to anywhere. If you want to generate a list for email, use Block
mode (vs. Row mode) to highlight a column, right mouse click to select
'Copy', then 'Paste' (or Ctrl-V) to Notepad or any word processing software.
Mark
your Data
Use
font style, font color and background color to mark your important contacts
data. Use F3 key to stamp current time to a cell. If there is data already
in a cell, the date time text will append to the end. All font type and
color will be stored in the file after you save it.
Mailing
Labels too narrow
You
may preview the mailing labels printout before print them to the printer.
If the company name is too long, go to that individual item to edit the
data. Or, use 2x10 in stead of 3x10 label format.
Save
Data to a File
It's
a good practice to save your work by category. For examples, Friends.twg
or Coworkers.twg. Do not let the file get too big to affect the performance.
You do not want to store ten thousand items in one file.
Append
Files
You
may concatenate the files by going to File->Append from the menu bar
or press Ctrl-A.
Mail
Merge and Bar Code
Save
file to Comma Delimited format (*.CSV) then use Microsoft Word to do mail
merge or mailing labels bar code printing. (more...)
Export
to Excel
You
may save file to Comma Delimited format (*.CSV) then read the file from
Excel. Or, highlight the data range, press Ctrl-C to copy then Ctrl-V
to paste the clipboard data to the Excel spreadsheet.
Import
Existing Text Data File
You
may import Comma Delimited (*.CSV) or Tab Delimited (*.TXT) files to TwinGrid
Address Book. Use File->Open to select a file to import.
